Legal & accounting firms

Answer every new client call. Keep every confidence.

Middlesurf’s AI receptionist takes intake calls day and night, books consultations and logs a clean summary to your practice management system.

Recordings and transcripts are kept on our own servers in Canada.

A lawyer reviews a file at her desk in a small office in the early evening.

After hours

The best new matter often calls at 9 pm.

People look for a lawyer or accountant when something has just happened — a dismissal, a separation, a letter from the CRA. That’s often in the evening or on a weekend. If they reach voicemail, many call the next firm on the list.

During the day, your assistant is juggling court dates, document requests and “has my return been filed?” calls. In tax season, the phones don’t stop until well past April 30.

What it handles

What your AI receptionist handles

Takes the intake call — and asks the conflict-check questions first.

The agent collects the caller’s name, the other parties’ names and the type of matter before the caller tells the whole story. You run your conflict check before anyone hears the details.

Books the consultation.

Qualified callers book straight into the right lawyer’s or accountant’s calendar. They get a confirmation, your intake form and a list of documents to bring.

Answers after hours and in tax season.

Office hours, location, practice areas, fees for an initial consultation, what to bring. Overflow calls roll to the AI instead of voicemail, and your team sees a summary of each.

Chases the documents.

Existing clients get reminders for missing T4s, receipts, signed engagement letters or ID — with a link to upload them. Outbound messages respect CASL and CRTC rules; we build consent and opt-out handling in.

Writes the file note.

Every call is transcribed and summarized into your practice management system or CRM, so nobody retypes a voicemail. We build the connection to the system you use.

Guardrails

It never gives legal or tax advice.

The agent handles the front desk, not the file. It tells callers it can’t advise on their situation, books them with a professional, and passes along what they’ve shared. You write and approve the rules for what it can and can’t say.

Privacy

Confidentiality you can explain to your regulator

Lawyers and paralegals in Ontario have a strict duty of confidentiality under the Law Society’s rules, and the Law Society expects licensees to understand the risks of the technology they use. CPAs have a parallel duty under their professional code. We help you answer the question “where does our client information go?” plainly:

  • Stored in Canada. Recordings, transcripts and summaries are kept on Middlesurf’s own servers in Canada.

  • In writing. We tell you which AI services handle your calls and where everything is stored.

  • You set retention. Keep recordings as long as your file-retention policy says — or don’t record at all.

  • Documented. A clear, written data-flow map for your privacy officer.

Designed to support PIPEDA and Quebec Law 25 obligations, and your professional confidentiality duties.

This is a plain-language overview, not legal advice.

Sample use case: transcript of a call
  1. AI receptionist

Good evening, thanks for calling. I’m the firm’s AI assistant. How can I help?

  2. Caller

I was let go from my job today and I think I need an employment lawyer.

  3. AI receptionist

I’m sorry to hear that. I can book you a consultation with one of our employment lawyers. First, so our firm can check for conflicts, could I get your full name and the name of your former employer? Please don’t share any other details yet.

  4. Caller

(Gives their name and the employer’s name.)

  5. AI receptionist

Thank you. I can’t give legal advice, but a lawyer can review your situation. Our first availability is Wednesday at 11 or Thursday at 2. Which works better?

  6. Caller

    Wednesday.

  7. AI receptionist

You’re booked for Wednesday at 11. I’ll text you a confirmation and email our intake form, along with a list of documents to bring — like your employment contract and termination letter.

FAQ

Questions firms ask

Will it give advice to callers?
No. It books, routes and takes messages. If a caller asks for advice, it explains that a professional will review their situation and offers a booking.
How does it handle conflict checks?
It asks for party names before the caller describes the matter, then logs them so your team can run the check before the consultation. We can also connect it to your practice management system to run the lookup automatically.
Can we choose not to record calls?
Yes. You can record, transcribe only, or keep summaries only. Callers hear a recording notice when recording is on.
Can existing clients get status updates?
It can take a detailed message and tell the client when to expect a reply. It doesn’t share file details unless you’ve set up a way to verify the caller.
Does it tell callers it’s an AI?
Yes, by default. You approve the exact greeting.
Can it answer in French or other languages?
Yes. It detects the caller’s language and answers in it — English, French and many other languages — and switches mid-call if the caller does.
Do we have to change our phone number?
No. Keep your number and carrier and forward calls to us — all calls, after hours only, or when nobody picks up. If you’d rather, we can set up a new phone system and port your numbers.
What does it cost?
It depends on call volume, number of lawyers or accountants, and integrations. We give you a written quote after Discover.
